Responsibilities:
This is a multifaceted role and will include a wide assortment of responsibilities.
- Anticipate client needs, resolve issues, and maintain exceptional service while ensuring timely communication.
- Coordinate and manage schedules, ensuring appointments are scheduled effectively and conflicts are minimized.
- Maintain the CRM system for accuracy and to optimize client data collection.
- Assist with account setup and household creation as needed.
- Ensure timely processing of invoices and manage billing inquiries.
- Review workflow to facilitate timely follow-up on tasks and deadlines, maintaining momentum and enhancing client satisfaction.
- Perform general administrative tasks, such as answering the phones, ordering supplies, warmly greeting clients, and assisting with other office needs.
- Generate and/or review documentation for client communication.
- Supports team members and clients with various duties and responsibilities as required.
Qualifications:
Long term success in this job will require a working knowledge of financial planning and investment concepts. You don’t need to know anything coming in, but you do need to have an interest in learning!
- General understanding of financial concepts and terminology is preferred.
- Notary certification is preferred.
- Previous experience in the financial services industry or client service is preferred.
- Bachelor’s degree in a related discipline is preferred.
- Computer savvy, especially with Microsoft Office software.
- Exceptional organizational skills.
- Detailed oriented.
- Must have excellent interpersonal skills, including phone demeanor, the ability to look and sound professional, and a genuine interest in helping people.
- Ability to manage multiple projects at once without sacrificing quality.
- Comfortable working in a team and alone.
